Constant Contact
Send the people who fill in your forms to Constant Contact as contacts.
When someone submits the form and ticks your email consent checkbox, HIPAAtizer adds them to Constant Contact, or updates them if they're already a contact. If they don't tick the box, nothing is sent.
Constant Contact is not HIPAA-compliant by default. Map only contact details such as name, email, phone and address. Never map answers that could contain Protected Health Information, such as symptoms, medications or reasons for a visit.
Before you start
Your form needs:
- An Email field. Constant Contact can't create a contact without an email address.
- A consent checkbox. A Checkbox field asking permission to send marketing email. The integration won't save without one, and you can add one as you go. See Choosing a consent checkbox.
Step 1: Connect your Constant Contact account
Do this once. The connection is then available to every form in your account.
- Go to Integrations → Integrated Accounts → Constant Contact.
- Click Authorize with Constant Contact.
- Sign in to Constant Contact and allow HIPAAtizer to access your account.
Step 2: Set it up on a form
- Go to My Forms, click the Form Settings (gear) icon, then Integrations → Constant Contact.
- Turn on Send each new submission to Constant Contact.
- Lists (optional): click the lists new contacts should join. Existing contacts keep the lists they're already on.
- Email marketing consent: choose the checkbox that asks permission to send email. See Choosing a consent checkbox.
- Contact details: pick your form's Email field, then click + Add field for anything else you want to send, such as first name, last name, phone or address.
- Click Save changes.
Only submissions received after you save are sent.
If a list or custom field you just created doesn't appear, click Refresh in the header. To send answers to a Constant Contact custom field, create the field in Constant Contact first, then map it under Custom fields.
Choosing a consent checkbox
Constant Contact requires explicit permission before you email someone, so a submission is only sent when the person ticks the checkbox you choose here.
No suitable checkbox yet? Click + Add one with recommended wording. HIPAAtizer adds an unchecked, optional checkbox to your form draft. Open the form in the Form Builder, review the wording and publish the form, otherwise people won't see it on the live form.
Good consent wording starts unchecked, isn't required to submit, names your organization, says what people will receive, and tells them they can unsubscribe. The suggested label is:
Yes, I'd like to receive emails from [ORGANIZATION NAME] about news, offers and events. I can unsubscribe at any time.
If you pick a checkbox that is required, ticked by default, or doesn't mention email, HIPAAtizer warns that it doesn't look like marketing consent. Something like "I confirm the information is accurate" is a statement, not permission, so using it would add people to your list without their agreement. Pick a different checkbox, or confirm the wording to save anyway.
Consent rules differ by country and region, such as CASL in Canada and GDPR in the EU. HIPAAtizer can't give legal advice, so check the rules that apply to you. Constant Contact's guide to implied and express permission is a good place to start.
What happens on each submission
| Person is... | Box ticked | Box not ticked |
|---|---|---|
| New to Constant Contact | Added as a contact with Explicit permission, plus any lists you chose. | Not sent. |
| Already a contact | Details updated, added to your lists, permission set to Explicit. | Not sent. |
| Unsubscribed | Stays unsubscribed. Constant Contact emails them a one-time resubscribe link. | Not sent. |
Contacts are matched by email address.
Unsubscribed people are never re-added by HIPAAtizer. Only the person can resubscribe themselves, by clicking the link Constant Contact sends them. That email goes out once per contact.
If your Constant Contact account has Confirmed Opt-In turned on, new contacts are added as Pending confirmation and must click a confirmation link before you can email them. The header shows whether this is on. Change it in Constant Contact, not in HIPAAtizer.
Checking it works
Click Send test contact in the header, then look at Recent activity at the bottom of the page. It lists recent submissions and what happened to each one:
- Created or Updated: the contact is in Constant Contact.
- Pending confirmation: added, but waiting on Confirmed Opt-In.
- Not sent: the consent box wasn't ticked. This is expected.
- Resubscribe sent: the person had unsubscribed and was emailed a resubscribe link.
- Failed: the details show the error. Fix the cause, then click Retry.
Troubleshooting
A contact isn't in Constant Contact. Check Recent activity for that submission. Not sent means the person didn't tick the consent box. Failed shows the error, so fix it and click Retry. If the submission isn't listed at all, confirm the integration is turned on and saved, since only submissions received after saving are sent. If you chose no lists, search Contacts by email address instead of browsing a list.
I can't save. The page marks what needs attention. Usually it's a missing consent checkbox, an unconfirmed warning about the checkbox wording, or a mapping row with an empty field.
The consent checkbox I added isn't on the live form. It was added to the form draft. Open the Form Builder and publish the form.
Support needs to look at this. Technical details at the bottom of the page shows the form's Workflow ID. Include it when you contact us.
